terms :: 

At this time, all levels of service require a minimum 1-hour obligation if hired. When hourly billing is being used, fees are calculated in 15-minute increments.

agreements ::

I typically request that a basic letter of agreement be executed prior to beginning any task. This will more than likely be a 1-page document that outlines who the client is, identifies me as the provider, details what the scope of work is, + what rates or other options apply. I will provide the document for your review and signature, after setting the initial terms in place via some form of communication with you.

If changes are made to the scope of work, I would then add those changes as an executed amendment to our initial letter of agreement. These agreements do not take long to process, + are merely a sign of intent on all parts. Upon receipt of the executed document (via fax, email, etc.), I am able to begin work immediately.

schedule ::

My schedule is fairly flexible, meaning I try to be available as often as needed with enough notice given. My official hours of operation fall between 9am–8pmMST, Monday through Friday. Naturally, some projects might require “whatever it takes” to complete, and I’m fully aware of that, even if it means spending time over a weekend to accomplish a reasonable request.

communication ::

A successful partnership with me will involve electronic communication and collaboration on all parts. If you have sent me a work request, and I have questions, I will let you know my concerns with a reply via email. I won’t typically use the phone unless it’s urgent, so I ask that you respond via email asap in order to keep the flow of work moving efficiently. Being a Virtual Assistant means that email is the quickest and easiest way to communicate with me, and is also the quickest and easiest way for me to respond because it allows me to focus on your request, follow up as needed, and then move on to the next task without delay. **Please note – if I’m in the middle of a task, I won’t answer my phone. This allows me to focus on what I’m doing, bill for that time accurately, and afford each client my attention for the duration of each task.

billing + payment information ::

As always, invoices are due upon receipt. Please submit your payment to me by the end of the month after you receive an invoice. For your convenience, I accept PayPal and most major credit cards (via PayPal) as a form of [payment]. Of course, I also accept company checks as well. I use a typical invoice for services rendered on a monthly basis - which I will endeavor to email to you the first week of each month (assuming there are no unavoidable delays). [NEW – beginning March 1st, 2009, accounts that are not made current by the 1st of the month following receipt of an invoice, will risk incurring a 1% late fee for each month the invoice(s) remains outstanding. If there are unavoidable delays in submitting your payment, please let me know asap as I will try to be as flexible as possible. However, I also would like to mention that should an invoice still be unpaid two (2) consecutive months in a row, in addition to incurring a late fee, I will also have to temporarily suspend services until any billing issues are resolved.]

subcontractors :: NEW

This really only applies to a certain type of client, but from time to time, it may be necessary for me to enlist the help of outside resources in order to complete a task on time (depending on the size of the project). If that’s the case, all subcontractors are accountable to me, and the arrangement is between me and them. Your rates won’t change if I use a sub. Any sub I choose to work with won't have access to any of your information - I will give them direction on what they need to do and they will report back to me. Again, any fees I receive for tasks completed that required the use of a sub, will be passed on through me per my agreement with my sub. This is a new concept for my business, and I may or may not make use of it depending on what the task is, but just in case the need arises, I want to throw it out there for consideration.

misc. terms ::

If for some reason I require personal time off, I will inform my clients as to my schedule during those days. This will more than likely be in the form of an email notification along with a posted message on the home page of this website stating the same.
